Reading, MA — The Chamber is hiring! We have two part-time positions, an administrative coordinator and a marketing coordinator. Descriptions are listed below attached.

Administrative Coordinator Reading-North Reading Chamber of Commerce

This position is part-time and focuses on administrative aspects and support for the Chamber, which has 270 members and hosts 20+ events per year. Successful candidate is a self-starter, comfortable working independently and has great attention to detail and follow through skills.

Tasks include (but are not limited to)

  • Handle member and event invoicing and follow up.
  • Handle all mail, check PO Box in Reading, record payments and make deposits 2-3 times a month, especially at month-end.
  • Assists with member on-boarding, entering information into Chamber Master.
  • Add events to calendar on chamber website.
  • Working with the Marketing Coordinator, manage all aspects of member onboarding so that all members receive the benefits and privileges associated with their membership – Tracks and schedules all deliverable benefits (example scheduling eBlasts, ribbon cuttings, Member Spotlights, social media post, etc.)
  • Inputs all communications and data in CM to ensure the system is accurate, that all information regarding join/drop reasons and ongoing communication are correctly recorded and ensures that the information collected meets the needs of the Chamber team.
  • Process membership invoices via email and follow up with printed invoices once invoice is 30 days past due.
  • Process sponsorships and add business name and logo to website within a week of receiving payment. Ensure logo is in proper format for all advertising needs (website, printing etc.). Follow up on payments as needed.
  • Comfortable seeking sponsorships and contacting past due members.
  • Support Executive Director in tracking and documenting all ARPA funds and reporting as requested.
  • This position is paid hourly, and hours will vary. Most weeks will average 8-10 hours per week. Support at some early evening, early morning, and occasional weekend events (including Thanksgiving weekend) will be required.
  • Using pre-recorded webinars, train yourself on Chambermaster, our CRM Tool.
  • Must have own laptop and reliable wifi.

Marketing Coordinator Reading-North Reading Chamber of Commerce

Summary of Role: The Marketing Coordinator assists in growing and retaining membership by introducing businesses to the value of joining and building strong relationships with current members to support retention efforts. This position is responsible for recruiting new Chamber members and potential committee/Board members, strengthening relationships with current members, and increasing membership retention. Other responsibilities include creating marketing collateral to help promote the Chamber, members, and events, assist in securing chamber sponsorships, and encourage participation at all Chamber events.

The Marketing Coordinator provides support to the Executive Director for Chamber initiatives, including membership, marketing, communications, and events. This position is primarily work from home with weekly office hours in Reading during training, as well as occasional in-person meetings and events.

Membership:

  • 1-2 hours of weekly visits and drop-ins at local businesses to connect with Chamber members and prospects. Utilize town clerk business lists for recruitment as well as community FB board.
  • Proactively follow up with members to get their spotlights, encourage them to populate their membership listing, offer phone trainings on the membership information center
  • Manage all aspects of member on-boarding so that all members receive the benefits and privileges associated with their membership – Tracks and schedules all deliverable benefits (scheduling eBlasts, ribbon cuttings, Member Spotlights, social media post, etc.). Proactively reach out to members to increase engagement.
  • Follow up on leads in person and on the phone and provide enthusiastic customer service to our 270 members.
  • Ensure membership listings are complete and error free in Chambermaster
  • Manage the Chamber’s “New Resident Reception” tote bag program

Marketing & Communications:

  • Write and solicit news for the bi-monthly membership newsletter.
  • Promote Chamber events and members on Wednesday’s Business FB postings on community groups. Add events to Facebook and respond to comments or questions posed on social media.
  • Ensure Member Spotlight is posted on the Chamber social media channels.
  • Solicit, organize, and write member news section of the Chamber newsletter. Prepare weekly marketing note in Constant Contact as requested. Proactively seek information for membership newsletter (2x per month) and coordinate sending of these notes with ED.

Events:

  • Serve as the Chamber Representative at Ribbon cuttings, Chamber events and others as requested.
  • Assist to organize logistics and help manage all chamber events in a way that produces maximum revenue and profit, attendance, and community involvement.
  • Contact members and nonmembers to request event sponsorship.
  • Take photos and post and tag on social media in a timely fashion. Create and tag photo albums from events.
  • Handle event and program signage: work proactively to ensure on-time delivery of signage and collect logos, order signs, pick up at printer, drop off and pick up lawn signs, banners, posters, etc.
  • Prepare and distribute materials needed for events such as emails, name tags, fliers, and tickets.
  • Attend Chamber Committee meetings for Signature events. Create and run agenda, take notes, and send follow up items/tasks. Update event task document and track and manage all income and expenses. Send thank you notes for smaller events within 3 days with focus on inviting nonmembers to become members. For larger signature events, send printed thank you notes within 3 weeks of the event.
  • Assist with coordination of New Reading resident event, gather promotional items, and help fill and transport the Tote Bags.

Financial:

  • Must be comfortable soliciting members, asking for sponsorships and following up on past due invoices. Handle all billing matters with appropriate professionalism and confidentiality.
  • Familiarity with Quickbooks a plus.

Requirements:

  • Professional marketing and event experience, highly organized, good follow-through skills.
  • Polished and self-motivated individual who is an energetic ambassador of the Chamber.
  • Ability to simultaneously juggle multiple tasks.
  • Excellent writing and communication skills.
  • Proficiency with Office, Google Docs and managing Zoom meetings.
  • Ability to operate autonomously with minimal supervision.
  • Comfortable with following up on billing matters, receivables, etc. and maintain confidentiality and professionalism.
  • Post on community FB groups to promote the Chamber and value of membership.
  • Using online tutorials, work to become a proficient user of Chambermaster software.
  • Must have a valid driver’s license and insured vehicle to occasionally transport supplies to events, deliver items to members, etc.
  • Must have own laptop, printer, and wifi.
  • Must be able to lift 20 lbs

Preferred:

  • Experience with Constant Contact, WordPress and Canva.
  • Managing social media for business experience (Facebook, Instagram, LinkedIn).
  • Prior business and marketing writing
  • Graphic design skills

This position is paid hourly and does not include benefits. The hours will vary, and most weeks will average 10-15 hours per week, with some weeks being up to 20+ hours to support specific projects and events. Support at some early evening, early morning, and occasional weekend events (including Thanksgiving weekend) will be required.
